Booking, Cancellation & Privacy Policy — Solvo Tours and Safaris

A. Introduction
Welcome to Solvo Tours and Safaris. By using our website, booking a safari, or communicating with our team, you agree to the following Terms & Conditions and Privacy Policy. These policies define the mutual responsibilities between Solvo Tours and Safaris (the Company) and the Client (you, the traveler) regarding bookings, payments, cancellations, data handling, and general conduct during safaris.
B. Booking Terms
1. Reservation Confirmation
A booking is confirmed only after receiving a deposit payment and a written confirmation email from Solvo Tours and Safaris. Quotations are valid for 14 days unless otherwise stated.
2. Deposit and Payment
A 30% deposit is required to secure your reservation. The balance (70%) is payable before arrival or on the first day of the safari, unless otherwise agreed in writing. Once the deposit is received, Solvo Tours & Safaris proceeds to secure accommodations, park permits, transport, and other services.
3. Accepted Payment Methods
- Bank Transfer (local or international)
- Credit/Debit Cards (Visa, MasterCard)
- PayPal
- Mobile Money (M-Pesa, Airtel Money)
4. Pricing and Currency
All prices are quoted in US Dollars (USD) or Kenya Shillings (KSHS) unless stated otherwise. Rates are subject to change due to fluctuations in park fees, taxes, or fuel prices, but Solvo will notify clients before confirming adjustments.
C. Cancellations and Refunds
1. Client-Initiated Cancellations
- 60 days or more before travel: 90% refund of total cost.
- 30–59 days before travel: 70% refund.
- 15–29 days before travel: 50% refund.
- Less than 14 days: No refund (cancellation fees apply).
2. No-Show Policy
No refund is provided for no-shows or unused portions of booked services.
3. Company-Initiated Cancellations
In case of unavoidable circumstances (natural disasters, political unrest, etc.), Solvo will offer an alternative itinerary or a full or partial refund, depending on the situation.
D. Travel Documents and Insurance
1. Visas & Passports
Clients are responsible for obtaining valid travel documents (passport, visa, vaccinations). Solvo can advise on visa processes but does not process applications.
2. Travel Insurance
Comprehensive travel and medical insurance is mandatory for all participants. Insurance must cover medical evacuation, trip cancellation, and loss of property.
E. Health, Safety, and Conduct
1. Health Conditions
Travelers must disclose any pre-existing medical conditions prior to travel. Solvo reserves the right to decline participation if a client's health condition may compromise safety.
2. Behavior and Conduct
Clients are expected to behave responsibly and follow all park, camp, and guide regulations. Any misconduct or illegal activity may result in termination of services without refund.
3. Wildlife Interaction
Guests must follow guide instructions strictly during wildlife encounters. Feeding, touching, or provoking animals is strictly prohibited.
F. Responsibility and Liability
1. Company Responsibility
Solvo Tours and Safaris acts as an agent between clients and service providers (lodges, airlines, etc.). While we ensure quality and reliability, we cannot be held liable for delays, losses, or damages caused by third-party actions, weather, or unforeseen events.
2. Client Responsibility
Clients are responsible for adherence to travel regulations, timely payments, and honest disclosure of information.
3. Force Majeure
Solvo Tours and Safaris is not responsible for losses due to natural disasters, political unrest, pandemics, or any circumstances beyond our control.
G. Privacy Policy
1. Information Collection
We collect only the personal data necessary for booking and communication (name, email, contact number, passport details if required).
2. Use of Information
Your data is used solely for booking and operational communication, payment processing, and customer service and support.
3. Data Protection
All client data is stored securely and never sold, rented, or shared with unauthorized parties. We comply with Kenya's Data Protection Act (2019) and international data security standards.
4. Cookies
Our website uses cookies to improve user experience and website functionality. Users can adjust cookie preferences in their browser settings.
H. Complaints and Dispute Resolution
1. Filing a Complaint
Any complaint during a safari must be reported immediately to the guide or operations team for resolution. Post-trip complaints should be submitted in writing within 7 days of safari completion.
2. Resolution
Solvo aims to resolve disputes amicably. If unresolved, disputes will be governed by the laws of Kenya and subject to the jurisdiction of Kenyan courts.
I. Intellectual Property Rights
All content on the Solvo Tours and Safaris website (text, photos, videos, design) is protected under copyright law. Reproduction or use of content without written permission is strictly prohibited.
J. Amendments
Solvo Tours and Safaris reserves the right to update these Terms & Conditions and Privacy Policy without prior notice. Clients are encouraged to review this page periodically for any updates.
